E-signature

Get the contract signed while the customer is still on the line.

Send the contract or quote from the Signatures tab during the call, or hand your screen to a customer at the counter. Fields fill in from the contact, the signer confirms a one-time code by email or SMS, and you get back a sealed PDF with a full audit trail.

how it works

Send contracts and quotes for signature from the CRM and get back a sealed PDF with its audit trail, billed per envelope.

  1. From the CRM

The Signatures tab sits next to the contact form. Pick a template and the recipient's name, email and other fields fill in from the contact record. The invitation goes out by email, and the signer can be asked for a one-time code by email or SMS before signing.

    • Templates with roles and fields already placed
    • Fields prefilled from the contact
    • Several PDFs in one envelope
    • Sequential or parallel signing order
  2. Evidence

Every step is logged: sent, viewed, consent given, code checked, signed, approved or declined. Each event is chained to the one before it by a hash. The final PDF is sealed (PAdES) with an RFC 3161 timestamp, and a certificate of completion lists who signed, when and how they were checked.

    • Audit trail of 18 event types chained by hashes
    • Sealed PDF (PAdES) with an RFC 3161 timestamp
    • Certificate of completion for each envelope
    • Public page to check a signed PDF by its fingerprint
  3. Control

Set how long an envelope stays open, from 1 to 365 days, and when reminders go out. Void an envelope that is no longer needed and its recipients are told. The signing page and emails carry your logo, color and sender name, in English, French or Dutch.

    • Automatic reminders on a schedule you set
    • Expiry from 1 to 365 days
    • Void an open envelope, with a reason
    • Signing page and emails in EN, FR and NL

  • OVOKY provides a simple electronic signature under the EU eIDAS regulation. Under eIDAS, a signature cannot be refused as evidence just because it is electronic, and the audit trail, code check and sealed PDF document how it was given. It is not a qualified electronic signature, so documents that legally require a qualified signature need a qualified trust service provider.

  • Per envelope, debited from your prepaid balance at the moment you send it. If the balance is too low, nothing is sent. One-time codes sent by SMS are billed as SMS.

  • Yes. The Signatures tab in the CRM lets you pick a template for the contact on screen. Envelope events, such as sent, signed, declined or completed, appear on the contact's timeline.

  • Anyone holding the PDF can drop it on the public verification page. The file's fingerprint is computed in their browser, so the document never leaves their device, and the page shows the envelope, its signers and whether the audit chain is intact.

  • English, French and Dutch. The language you choose applies to the signing page, the emails and the dates written into the signed document.
